This is an outline of a Green IT implementation strategy.

Green IT Scope

The Green IT scope document establishes responsibilities and planning guidelines for the operational implementation of policies and strategic objectives.

  1. Operational objectives
    • Development of operational objectives which are needed to achieve the strategic objectives
    • Establishment of the action catalogue
    • Time line
    • Ressources plan
    • Definition of document structure
  2. Responsibilities
    • Determination and communication of responsibilities: e.g. project team, energy manager
    • Clear positioning in the corporate strategy inclusive planning of ressources (budget, personnel)

Implementation

The implementation of the Green IT actions follows a structural approach, external communication will only be performed after the the successful project completion.

  1. Implementation of actions
    • Implementation of actions
    • Project management and control by the responsible departments
    • Reporting of the results (key figures) to management
    • Documentation of the processes
    • Initiation of continuous improvement process
  2. Communication (external)
    • External communication should only happen after the successful completion of the project and after a sufficient test phase (about one year)

Strategy and Policies

The measurement of energy usage and the establishment of key figures are the first steps for the successfull introduction of Green IT actions.

  1. Gap analysis: Rough estimation of the Green IT status quo in the enterprise
    • Energy usage measurement
    • Assessment
    • Benchmarking
    • Identify potential weaknesses / energy losses
    • Ideas workshop
  2. Strategic objectives and policies
    • Definition / Commitment of a Green IT policy
    • Definition of strategic Green IT objectives (e.g. 20% higher energy efficiency compared to last year)
    • Factors to consider: Cost-effectiveness analysis, market conditions, marketing, requirements of industry, security

Detail Plan

The detail plan determines the individual actions derived from the scope document, it defines the project plan and controls the project communication

  1. Detail plan
    • Specific (technical) planning of the actions derived from the scope document with all the relevant stake holders
      • Definition of key figures (e.g. CO2-reduction, kWh, employee satisfaction, efficiency, OPEX)
      • Requirements, individual objectives
    • Organisation of expert workshops
  2. Communication (internal)
    • Internal communication of the project (also) external to the directly conerned user departments
      • Change management methodology
      • Clear representation of the advantages and risks of the project as well as the demands on the employees
